Essential Job Functions

Administrative Support :

  • Calendar & schedule management – Coordinate meetings, events, and operational workflow.
  • Expense tracking – Ensure timely and accurate database entries in Zoho One.
  • Correspondence management – Handle emails, website orders, and customer inquiries professionally.
  • Record & database maintenance – Keep customer and operational data updated and accurate.
  • Invoice & payment processing – Ensure compliance with financial procedures.
  • Supply & inventory management – Source and maintain necessary materials / products for smooth operations.

Customer Service :

  • Customer inquiries & support – Provide timely assistance on deliveries and feedback.
  • Supplier coordination – Manage supplier relationships and ensure timely fulfillment of goods and services.
  • Issue escalation – Identify, address, and escalate complex challenges as needed.
  • Additional Responsibilities :

  • Event management support – Assist with venue sourcing, budgeting, marketing, vendor coordination, logistics, and event safety.
  • Database integrity – Maintain accurate and reliable data records.
  • Cross-functional collaboration – Work with internal and external stakeholders toward shared goals.
  • Effective communication – Facilitate clear and professional interactions across teams.
  • Problem-solving – Proactively identify and resolve operational challenges.
  • Requirements & Skills :

  • Minimum education : GCE O Level or equivalent (Certificate / Diploma in Business Administration or Office Management preferred).
  • Experience : At least 2-3 years in an administrative role.
  • Technical proficiency : Strong working knowledge of MS Office, Teams, and Zoho One.
  • Attitude & mindset : A "can-do" approach—confident, optimistic, and solution-driven.
  • Language skills : Proficiency in English and Chinese.
  • Communication skills : Excellent verbal and written abilities.
