Key Responsibilities :
Event & Staff Coordination Support
- Assist in identifying and suggesting event locations for customer approval
- Support planning and coordination of event logistics, including site setup and dismantling
- Coordinate and communicate with event coordinators, promoters, emcees, and on-site staff to ensure attendance, smooth operations, and effective audience engagement
- Manage manpower coordination for Singtel promoters and other event staff, including monitoring attendance, punctuality, and performance standards
- Participate in recruitment efforts to address manpower needs as required
Inventory & Vendor Management
Maintain and manage inventory levels of marketing materials, premiums, gifts, and promotional itemCoordinate with vendors and suppliers to ensure timely delivery of event materials and servicesAssist with vendor contracts, purchase orders, and follow up on invoices and paymentsReporting & Budget Monitoring
Assist in preparing, monitoring, and tracking event budgets and expenses related to advertising, rentals, and other costsMaintain accurate records of event plans, contracts, correspondence, and financial documentationPrepare regular status reports and post-event summaries, including attendance, inventory and feedback data for management and client reviewCommunication & Administrative Coordination
Schedule and coordinate meetings with clients, promoters, vendors, and internal teamsServe as a point of contact for internal teams and external partners regarding event-related queriesAssist in drafting and distributing internal communications and client updatesSupport general office administrative tasks such as filing, scanning, and document distributionWhat We're Looking For
