About the Role :

We are looking for a proactive and detail-oriented Admin Ops Coordinator to support our Operations & Business Development team. This role plays a vital part in ensuring smooth coordination of service-related activities, customer interactions, accurate documentation, and post-deployment follow-ups. Key Responsibilities :

  • Coordinate all service-related jobs : receive, register, and verify enquiries / orders.
  • Follow up with customers on quotations, service updates, and delivery instructions.
  • Monitor timely delivery of goods and manage communication of any order changes.
  • Resolve order-related issues and redirect where necessary.
  • Leverage maintenance and warranty data to promote services and fulfill obligations.
  • Provide basic technical support and advice to customers.
  • Coordinate with spares centres for parts purchasing when required.
  • Register and maintain fleet agreement details in the internal IT system.
  • Gather documentation to investigate and resolve invoice disputes.
  • Manage complaints and non-compliance cases using the internal system.
  • Ensure all orders comply with credit limits and company policies.
  • Support Sales with fleet agreement planning, pricing, and documentation.
  • Share customer feedback on service quality, technical, and commercial issues with Account Managers.
  • Assist in forecast planning with customers and internal teams.
  • Perform any other duties as assigned by the manager.

  • Prior experience in customer service, logistics coordination, or admin support preferred.
  • Suggested Qualifications :

    Education :

  • Diploma or Degree in Business Administration, Operations Management, Logistics, or related fields.
  • Applicants with strong relevant experience may be considered in lieu of formal qualifications.
  • Experience :

  • 2-3 years of working experience in administrative, operations, customer service, or logistics roles.
  • Exposure to B2B service support or fleet agreement management is a plus.
  • Nice-to-Haves :

  • Experience with invoice handling, CRM tools like Salesforce, or ERP systems such as SAP.
  • Basic technical understanding or willingness to learn about service / product specifications.
