Job Title : Administrative Assistant

Company : Everton Estate is a boutique real estate agency specializing in commercial and industrial properties. We are seeking a proactive, detail-oriented Administrative Assistant to join our growing team. This role is crucial in ensuring smooth operations, supporting our team of agents, and assisting management in day-to-day business activities.

Position Overview : We are currently seeking a meticulous, patient, organized, and efficient female Administrative Assistant to join our team. This role is pivotal in ensuring the smooth operation of our office and supporting our agents in delivering outstanding service to our clients.

Main Duties & Responsibilities :

Key Responsibilities

Case Submission Management

  • Handle and process cases submitted by agents, ensuring accuracy and timeliness.

Commission Monitoring and Payout

  • Maintain records of commission payable and receivable.
  • Handle creation and collection of payments.
  • Reconcile accounts and manage GST claims.
  • Filing and Database Management

  • Coordinate and gather listings for filing systems and database management.
  • Organize and maintain company files, databases, and records for easy access and retrieval.
  • Appointment Scheduling

  • Coordinate and schedule appointments for agents and clients.
  • Manage calendars efficiently to avoid conflicts.
  • Contract Preparation

  • Assist in preparing contracts related to property transactions.
  • Listing Management

  • Ensure property listings on platforms are kept up-to-date and accurate.
  • General Administrative & Operational Support

  • Provide administrative support to the Managing Director and team.
  • Assist with various administrative tasks and projects as needed.
  • Support operational tasks directed by the Managing Director.
  • Coordinate with stakeholders on operational matters.
  • Take on additional duties assigned by the Managing Director.
  • Qualifications :

  • Previous experience in administrative roles, preferably in the real estate or related industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with real estate management / CRM software.
  • Basic knowledge of accounting principles and practices is highly preferred.
  • Strong organizational skills with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
