Roles & Responsibilities
Responsibilities :
Sales Operations & Support
- Coordinate internal, external, and management sales meetings; minute-taking as needed and tracking of action items
- Manage travel arrangements for the sales team
- Support daily sales operations and team requirements
- Oversee sales collateral inventory and ordering (e.g., brochures, product illustrations)
- Process expense claims and sales documentation
- Liaise with Operations for processing and translation
- Maintain organized filing systems and data entry
Reporting & Performance Analysis
Prepare and deliver, regular (daily, weekly and monthly) management reportsAnalyze sales performance and incentive structures; conduct scenario design and testingCampaign & Process Optimization
Draft campaign papers with scenario planning and progress trackingIdentify and implement process improvements and automation opportunitiesDocument and optimize workflows to improve productivity and reduce redundanciesEvents Management
Plan, co-ordinate and execute AIA IW events from venue sourcing and related logistics planningDevelopment of proposals and detailed plans to support the technical aspect for the eventsPlanning and executing with the events to increase positive rapports with Business PartnersVendor Management
Conceptualize and prepare event proposals customized to individual event and to ensure that its within budget & costEnsure that all vendors quotations and event proposals are presented accurately & effectively within company’s compliance policyOther additional duties as assigned by Head of Sales and Distribution
Requirements :
Minimum 2 years of experience sales, admin and event support and relatedAt least Diploma holder / A LevelsStrong written and verbal communication skills; detail-oriented and self-drivenExcellent judgment, organizational, and time-management capabilitiesResourceful team player with a proactive, can-do attitudeAbility to build and maintain effective relationships across internal and external stakeholdersAdaptable and thrives in a dynamic, fast-paced environmentWillingness to learn and operate effectively in ambiguous situationsIndependent and self-motivated, with a balance of creativity and executionProficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, MS Teams)Advanced Excel skills is advantageous (e.g., formulas, pivot tables)Basic accounting knowledge is a plusStrong critical thinking and high attention to detailMeticulous, efficient, and positive mindsetAble to handle dateline pressures and intense workloadProficiency in Mandarin is required as the role involves liaising with Mandarin-speaking clients and handling Chinese documentsTell employers what skills you have
