Key Responsibilities :
1. Front Desk &
Hospitality
Greet and welcome visitors in a warm,
professional manner.
Maintain a clean, organized, and
presentable reception area.
Prepare and serve tea, coffee,
or water to guests and visitors as needed.
2.
Procurement & Inventory Management
Purchase and
maintain stock of office stationery, pantry supplies, and
consumables.
Manage company wine inventory, gifts, and
corporate materials.
3. Office Maintenance &
Facilities
Supervise office cleaning, meeting room
tidiness, and general upkeep.
Coordinate equipment
maintenance / repairs (printers, AC, etc.) and report
breakdowns.
Monitor office environment controls (lighting,
temperature, safety).
4. Travel &
Logistics
Arrange employee air tickets, hotel bookings,
and restaurant reservations.
Process e-VISA applications
for business trips.
Manage courier services, mail
distribution, and record-keeping.
5. Employee
Support Services
Maintain attendance records and assist
with onboarding / resignation formalities.
Print employee
name cards, stamps, and other materials.
Administer health
screening schedules and phone card
allocations.
6. Meeting & Event
Coordination
Schedule meeting rooms, prepare
setups, and serve visitors.
Organize company events
(logistics, catering, invitations).
Assist with fire
evacuation drills and safety compliance.
7.
Administrative Duties
Answer and redirect incoming phone
calls.
Maintain filing systems
(digital / physical).
Manage company car scheduling and
records.
Perform ad-hoc tasks as assigned by the Managing
Director.
Requirements : Education :
Diploma in Business Administration or
equivalent.
Experience : 3+ years in office
administration.
Skills : Proficient
in MS Office (Excel, Word, Power-point).
Organized with
strong multitasking abilities.
Good communication
skills
