Roles & Responsibilities
Responsibilities
- Office Administration : Manage daily office operations, including handling incoming calls, emails, and mail. Maintain office supplies, equipment, and a tidy workspace.
- Scheduling and Coordination : Schedule and coordinate meetings, appointments, and travel arrangements for staff and management. Prepare meeting agendas and take detailed minutes.
- Documentation and Record-Keeping : Create, edit, and organize documents, presentations, and spreadsheets. Maintain and update physical and digital filing systems to ensure easy retrieval of information.
- Support Services : Provide administrative support to management and other team members as needed. Assist with preparing reports, presentations, and other important documents.
- Communication : Act as a point of contact for internal and external stakeholders. Professionally and promptly handle inquiries and requests.
- Financial Tasks : Process invoices, expense reports, and other financial documents. Assist with basic bookkeeping tasks and liaise with the accounting department.
Qualifications
High school diploma or equivalentProven experience as an administrative assistant, office administrator, or in a similar role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Excellent written and verbal communication skills.Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.High degree of professionalism and discretion when handling confidential information.Ability to work independently and as part of a team.Open for mature workerChan Chee Meng
