Job Description
Job Scope and Responsibility :
Provide administrative support to a Service Point, such as service / programme administration,
documentation and data administration, and facilities administration as well as assist in other
administrative matters related to corporate services.
FSS Client Integrated Management System (CIMS) (Project)
- Ensure that all data to be migrated to Salesforce from the Care System are done timely and
accurately.
Assist in any other administrative matters to ensure that the various phases of the projectcan be executed promptly.
Front Desk Administration and Secretariat Support :
Greet and attend public walk-ins. This may include administering visitor logbook and badges,notifying relevant colleagues or re-directing the public to appropriate resources.
Answer, screen and route incoming phone calls to relevant parties, taking down phonemessages, checking incoming phone messages and emails.
Attend to inquiries and feedback and, where necessary, consult the manager / supervisor onappropriate response or follow -up.
Handle courier / express mail services upon request, mailing of letters, checking of mailboxand dissemination of mail to relevant parties.
Facility and Operations Administration :
Coordinate Service Point / Group / Organizational events / meetings etc.Ensure reception and meeting room readiness / cleanliness at the start and end of the day.Ensure upkeep, cleanliness and maintenance of the facilities. This includes liaising withvendors on maintenance matters, upkeep of first aid supplies and fire-fighting equipment.
Support in conducting workplace safety exercises (e.g. fire drills) in accordance with safetyguidelines and regulations.
Programme and Data Administration :
To provide programme logistics and administrative support.Upkeep of relevant databases within the Service Point, including the use of shared ITplatforms for centralised depository of documents.
Support in collation of data and statistics for programme and services reporting andpublication content generation.
Manage Library for the centre
Scan books and categorize them accordingly.Keep track of the check-out and check-in.Qualifications
