Job Description

Job Scope and Responsibility :

Provide administrative support to a Service Point, such as service / programme administration,

documentation and data administration, and facilities administration as well as assist in other

administrative matters related to corporate services.

FSS Client Integrated Management System (CIMS) (Project)

  • Ensure that all data to be migrated to Salesforce from the Care System are done timely and

accurately.

  • Assist in any other administrative matters to ensure that the various phases of the project
  • can be executed promptly.

    Front Desk Administration and Secretariat Support :

  • Greet and attend public walk-ins. This may include administering visitor logbook and badges,
  • notifying relevant colleagues or re-directing the public to appropriate resources.

  • Answer, screen and route incoming phone calls to relevant parties, taking down phone
  • messages, checking incoming phone messages and emails.

  • Attend to inquiries and feedback and, where necessary, consult the manager / supervisor on
  • appropriate response or follow -up.

  • Handle courier / express mail services upon request, mailing of letters, checking of mailbox
  • and dissemination of mail to relevant parties.

    Facility and Operations Administration :

  • Coordinate Service Point / Group / Organizational events / meetings etc.
  • Ensure reception and meeting room readiness / cleanliness at the start and end of the day.
  • Ensure upkeep, cleanliness and maintenance of the facilities. This includes liaising with
  • vendors on maintenance matters, upkeep of first aid supplies and fire-fighting equipment.

  • Support in conducting workplace safety exercises (e.g. fire drills) in accordance with safety
  • guidelines and regulations.

    Programme and Data Administration :

  • To provide programme logistics and administrative support.
  • Upkeep of relevant databases within the Service Point, including the use of shared IT
  • platforms for centralised depository of documents.

  • Support in collation of data and statistics for programme and services reporting and
  • publication content generation.

    Manage Library for the centre

  • Scan books and categorize them accordingly.
  • Keep track of the check-out and check-in.
