Roles & Responsibilities
We are looking for a detail-oriented and proactive Admin Executive to support our day-to-day office operations. Main responsibilities include facilities management, reception & hospitality, travel coordination, document control, insurance handling, and cash disbursements. You’ll also serve as an admin liaison for regional staff visitors and support company-wide administrative needs. The role also involves handling cash accounts, foreign exchange cash and staff allowance disbursements.
Key Responsibilities :
- Manage office facilities, dormitory leases, utilities, furniture & fittings.
- Manage Reception operations & hospitality (catering / guest arrangements).
- Manage and renew of annual business licenses and statutory permits.
- Maintain filing systems for regulatory, legal, and compliance documentation.
- Manage office supplies, uniforms & safety apparels, pantry stock, and courier / mail services.
- Administer corporate mobile plans and scheduling network printer servicing.
- Vehicle Maintenance : Oversee company vehicles and asset maintenance records including scheduling inspections / road tax / insurance renewals / repairs.
- Travel Support & Visitor Coordination : Serves as Travel Facilitator for employees including booking flights, hotels, transport, visa applications and travel documents.
- Cash Handling & Disbursements : Maintain and disburse company cash (incl. foreign currencies, allowances) with full accountability and in accordance with company policy ; Coordinate with Finance to ensure alignment on cash float and reporting.
- Serve as the Company Representative to Regional Office Visitors, ensuring hospitality, logistics, and support.
- Be a member of the ISO Safety Committee in the role of Safety Officer; assist in implementing and monitoring workplace safety protocols.
Requirements :
2–4 years’ experience in office admin, travel, or facilities.Experience with cash handling and corporate record keeping.Fluent in spoken and written EnglishStrong organizational, communication, and multitasking skills.Proficient in Microsoft Office (Excel, Word, Outlook).May require flexible hours to manage urgent travel requests.Primarily office-based with occasional travel to external sites (e.g., bank, dormitories, service providers).Tell employers what skills you have
