Looking for a Contract - Team Assistant ( 1 year) to support a team of 20 people in day to day administrative task and senior leaders with potential of contract extension / conversion depending on business needs Job Description
In your new role you will :
- Administrative Support : Provide administrative support to the senior leadership team, including managing complex calendars, scheduling appointments, and arranging meetings.
- Travel Coordination : Coordinate travel arrangements, including booking flights, hotels, and rental cars, and preparing and processing expense reports.
- Meeting and Event Coordination : Coordinate and arrange meetings, events, and functions, including scheduling meetings, booking meeting rooms, and arranging catering.
- Day-to-Day Administration : Provide day-to-day administrative support, including answering and directing phone calls, responding to emails and correspondence, and maintaining a high level of organization and tidiness in the office.
- Record-Keeping and Filing : Maintain accurate and up-to-date records and files, including preparing and processing administrative documents, such as purchase orders and expense reports.
- Relationship Building : Develop and maintain effective relationships with internal stakeholders, including building strong relationships with team members and senior leaders, and providing exceptional customer service and support
- Supporting Purchase Requisition and Purchase Order submission via MyBuy
Your Profile
You are best equipped for this task if you have :
Min education qualification Diploma in Business Administration / LCCI or relevant disciplineMin 2-3 years of experience as an executive assistant or in a similar administrative roleProven track record of providing exceptional administrative support to a team of 20 people and senior leadersExperience managing complex calendars and coordinating travel arrangementsExcellent organizational, communication, and interpersonal skillsAbility to work in a fast-paced environment with minimal supervisionHigh level of professionalism and discretionProficient in Microsoft Office, including Outlook, Word, Excel, and PowerPointAbility to learn new software and systems quicklyThis is a 1 year contract under 3rd party payroll partner and entitled to benefits according to partner company.Benefits
