Job description

Roles & Responsibilities

Secretarial and Administration

  • Manage day-to-day calendar and provide full administrative and secretarial support of the director.
  • Prepare all business and highly confidential correspondence and organize daily business agenda
  • Perform translation for all the required documents and meetings
  • Organize and maintain good filing system by ensuring all materials are securely filed on a timely and accurately
  • Able to manage and support in areas of reports and claims
  • Obtain approval for payment
  • Provide professional, executive-level client liaison in a helpful and friendly manner and maintain courteous, professional and efficient service to internal and external clients
  • Initiate and follow-up correspondence on all routine matters
  • Provide support to expatriates when and as required.
  • Logistics supports for meetings / workshops / events
  • Handle hotel, flight, restaurant bookings, VISA applications & etc

Corporate planning

  • Performing business analysis and report preparation for internal use (sales report and tourist report & etc)
  • Evaluation and producing action plans to improve organisational processes to promote efficiency and integration amongst teams
  • Playing a critical role in business improvement project initiation and supporting Corporate Planning Director in project management.
  • Supporting the Corporate Planning Director to facilitate smooth cross-departmental operations
  • Work efficiently with colleagues on meeting time-sensitive deadlines
  • Dissemination and sharing of business plans and results company-wide
  • Other ad-hoc duties as assigned
  • Job Requirements :

  • Minimum Bachelor Degree / Diploma in Business Administration
  • At least 2 years of relevant experience in secretarial support will be an advantage
  • Tech savvy and proficient in MS Office tools
  • Strong Communication & Interpersonal skills
  • Independent and good team player
  • Proactive and able to work in fast pace industry
  • Problem-solving skills
  • Strong attention to Detail
  • Knowledge in Japanese language will be an advantage
