Roles & Responsibilities
We have an exciting opportunity for an experienced Legal Secretary to work as part of a team, providing clerical support and administration to designated fee earners.
Principal duties will include :
Typing of all correspondence
- Copy typing
- Agreements
- Reviewing and amending
- Checking and proof reading
- Typing and amending lengthy, complex legal documents in an accurate and timely manner
- Creating of business related expense claim forms on behalf of their fee earners
- Assisting with the creation of new clients / matters on the Document Management (DM) system
General Administration
Answering telephone and e-mail messagesAssisting with conflict checksTaking and forwarding messagesCreating and amending diary appointmentsBooking meeting rooms, equipment and cateringArranging conference callsCovering for absenceOther general office duties as and when required
Organising travel arrangements
According to Employee Handbook guidelinesDatabase Management
Adding partner and fee earner contacts and ensuring data is up to date to include accurate profiling of contactsAdding contacts to LinkedIn, if requiredFiling and archiving
Billing
Processing incoming invoices and paymentsElite Practice Management SystemAnalysing time reportsPreparing draft bill to fee earner / finalising draft billReviewing for administrationSending chasers to clientAssisting in yearly Annual Returns billingsThe ideal candidate will have a good standard of education along with :
3+ years' legal secretarial experienceExcellent written and spoken English and MandarinWell versed with desktop publishing programmes including : Microsoft Word, Excel, PowerPoint and OutlookAbility to type quickly and accuratelyNotarial knowledge would be an advantage but training will be providedTeam oriented with a flexible approach to assisting colleaguesConditions of work
40 hours per week with 60 minutes for lunch – standard working hours are 09 : 00 am to 6 : 00pmTell employers what skills you have
