Roles & Responsibilities

About the Role

We’re looking for a proactive and detail-oriented Personal Assistant to support our Business Development Director in both administrative and project-related tasks. This role goes beyond traditional PA duties. You’ll manage communication, prepare and issue official quotations, and support the quotation process by clarifying and liaising with customers. You’ll also assist in project coordination, from checking colour proofs to issuing job orders and invoices, ensuring a smooth flow from enquiry to delivery.

What You’ll Do

Executive & Administrative Support

  • Manage the Director’s calendar, schedule, and meeting arrangements.
  • Handle correspondence, emails, and phone communications on behalf of the Director.
  • Maintain filing systems, databases, and records for easy retrieval and reporting.
  • Follow up with internal teams to ensure deadlines and action items are completed.

Sales & Quotation Support

  • Prepare and issue official quotations based on figures provided by estimators.
  • Support the quotation process by liaising with customers, clarifying specifications, and ensuring details are complete before quotation is finalised.
  • Manage sales enquiries and provide timely responses to clients.
  • Handle issuance of job orders and invoices.
  • Project Coordination Support

  • Serve as a supporting point of contact for clients on routine matters.
  • Check colour proofs and liaise with customers for approvals or adjustments.
  • Coordinate with internal design and production teams on project follow-ups.
  • Monitor project timelines and escalate issues that need the Director’s attention.
  • Assist in ensuring projects are delivered on schedule and to client requirements.
  • What we're looking for

  • Proven experience, ideally within the printing or graphic design industry
  • Strong organisational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Proficient in using MS Office suite and other office software
  • Ability to work independently and as part of a team
  • Flexible and adaptable with a positive attitude
