Working hours : 9am to 6pm (Monday to Friday)
Working location : Woods Square
JOB DESCRIPTION
- Manage daily schedules and calendar – Coordinate appointments, meetings, and travel arrangements for the Director, ensuring optimal time management
- Handle communications – Screen and respond to emails, phone calls, and other correspondences on behalf of the Director
- Prepare meeting materials – Draft agendas, take meeting minutes, and follow up on action items as required
- Organize travel & logistics – Plan domestic and international trips, including flight bookings, hotel reservations, itineraries, and transport arrangements
- Support project tracking – Assist in monitoring ongoing projects, deadlines, and deliverables to keep the Director informed and aligned
- Maintain confidential records – Organize and securely handle sensitive documents, reports, and contracts with discretion
- Liaise with internal and external stakeholders – Coordinate with company departments, clients, and partners on behalf of the Director
- Conduct research and prepare reports – Compile market information, competitor insights, or briefing documents when needed
- Assist in event planning – Help arrange company or client events, conferences, or meetings under the Director's purview
- Provide general administrative support – Manage expense claims, office supplies, and other ad-hoc tasks to support daily operations
JOB REQUIREMENTS
Minimum ITE in Business Administration, Management, or a related fieldAt least 1 year of experience as a personal or executive assistantStrong organizational and multitasking abilitiesExcellent written and verbal communication skillsHigh level of confidentiality and professionalismProficient in MS Office (Word, Excel, PowerPoint) and digital collaboration tools (e.g., Google Workspace, Zoom)Proactive, detail-oriented, and able to work independentlyGood interpersonal skills and a positive, can-do attitudeAbility to work under pressure and adapt to changing prioritiesFamiliarity with business operations or executive-level support is an advantageEA License Number : 25C2980
