Role Overview
The role of a Clinic Coordinator plays a vital part in ensuring the smooth operation of the clinic. Responsibilities include supervising and guiding clinic assistants, managing daily operations, and optimising staff scheduling to ensure efficient workflow.
- Work closely with senior management to schedule staff and doctors efficiently, promoting effective collaboration and teamwork.
- Assist with emergency cover for staff on urgent or medical leave, demonstrating flexibility and adaptability in times of need.
- Follow up on complex patient cases to ensure timely resolution, upholding the highest standards of care and customer satisfaction.
- Handle difficult customers, problem-solve, and assist with credit control, showcasing excellent communication and interpersonal skills.
- Ensure accurate payment collection and submission of daily sales closing reports, maintaining transparency and financial integrity.
- Liaise with external companies on administrative matters, fostering strong business relationships and partnerships.
- Perform month-end MCO invoice checks and ensure staff complete tasks on time, promoting a culture of accountability and responsibility.
- Submit monthly inventory stocks and medical supplies reports to doctors for evaluation, facilitating informed decision-making and strategic planning.
- Maintain clinic facilities by cleaning and enforcing infection control measures, prioritising health and safety protocols.
- Provide feedback on staff performance and development milestones, supporting ongoing growth and professional development.
- Orientate new staff and work with senior clinic nurses to train them on work processes, enhancing knowledge sharing and expertise transfer.
- Perform duties as a clinic nurse when rostered and training new staff, demonstrating versatility and flexibility in role responsibilities.
- Complete other duties assigned by doctors and the clinic manager, embracing a collaborative approach to workload and task allocation.
Requirements and Qualifications
A relevant healthcare diploma or degree with at least 2 years of experience in clinic operations is essential.Prior experience as a clinic assistant / nurse is desirable, showcasing existing skills and knowledge in the field.Experience in healthcare sector operations / administration is an advantage, highlighting adaptability and transferable skills.Strong people management skills, excellent interpersonal / communication skills, and the ability to multitask are critical for success in this role.Able to work long hours, under pressure, and as a team player, demonstrating resilience and a collaborative mindset.Familiarity with MS Office applications and the ability to work staggered hours / weekends / public holidays are beneficial, showcasing flexibility and adaptability.
