Roles & ResponsibilitiesKey Responsibilities
- Coordinate travel arrangements for field service staff, including flights, accommodation, transport, visa, and work permit applications
- Support scheduling and manpower planning for field service assignments
- Maintain and update internal databases, personnel records, and controlled documents
- Process purchase orders, vendor invoices, and support basic procurement activities
- Assist with preparation and issuance of quotations, job-related documentation, and sales invoices
- Input job-related costs (manpower hours and expenses) into ERP systems
- Track timesheets, expense claims, and job-related reports for processing and billing
- Support customer and internal enquiries related to service jobs and invoicing
- Maintain approved vendor lists and ensure records are up to date
- Assist in maintaining operational reports, CVs, training records, and compliance documentation
- Provide general administrative support to the Field Service and Technical teams
- Support audit, finance, and EHS-related administrative requirements when needed
- Perform ad-hoc administrative duties as assigned
