Roles & Responsibilities

Job Summary:

The incumbent manages the daily tasks of a company by providing administrative and clerical support.

Job Descriptions:

-Responsible for administration duties and handling Front desk duties including the compliances of Safe Management Measures (Screen and direct in-coming calls/queries and attend to visitors/guests)

-Coordinate the reservation of meeting rooms and prepare beverages when necessary·

-Attend to all incoming mail and outgoing mail and courier of documents/parcels. These include collecting and sorting mails, and faxes for distribution to the respective departments/personnel.

-Review list of international/domestic courier charges and indicate the amount in various disbursement worksheets for billing purposes including packing and arrangement of parcels for despatch services, local & overseas including managing and packing the samples inventory.

-General maintenance and housekeeping of the office premises and equipment eg coffee machines/water dispenser etc. Maintain office maintenance files and follow-up on maintenance requirements

-Serve as point of service contact for all internal/external visitors & meetings

-Administer and facilitate seamless control of the provision of stationery/pantry supplies/Corporate collateral /postage stamps/Ferry tickets etc.

-Maintain and upkeep office admin records, coordinate storage/retrieval of archived files and filing system into the in-house server

-Provide good support to Business Associates in administering and facilitate the products/items for laboratory testing.

-Managing travel arrangements including hotel and flights reservation.

-Administer and coordinate all Travel VISA arrangements

-Comply with Standard Operating Procedure.

-The ability to multi-task, work under pressure, and problems solving with various pressing issues.

-Have good time management and prioritize work based on the level of importance and urgency within the given time frame.

-To work closely and cordially with other departments.
