HR & Admin Asst / Exec
Roles & Responsibilities
We are looking for an organized and proactive HR & Admin Executive to support our HR and office administration functions. This role suits someone who enjoys variety, thrives on detail, and is comfortable juggling people-related processes alongside day-to-day office operations. You will work closely with the HR and management team to ensure smooth employee lifecycle management and efficient office administration.
Key Responsibilities
Human Resources
- Assist with onboarding and offboarding of employees, including preparation of employment contracts, orientation, and exit formalities
- Maintain and update employee records, HR databases, and personnel files in compliance with data protection requirements
- Support monthly payroll processing, leave and attendance tracking, and claims administration
- Assist in the coordination of employee engagement activities and training sessions
- Help ensure HR practices comply with the Employment Act and other relevant Singapore employment regulations
- Handle work pass applications, renewals, and cancellations (e.g. Employment Pass, S Pass, Work Permit) where required
Administration
- Manage day-to-day office administration, including procurement of office supplies, equipment, and vendor coordination
- Handle incoming and outgoing correspondence, courier arrangements, and front-desk duties as needed
- Coordinate meeting room bookings, travel arrangements, and logistics for internal and client-facing events
- Maintain proper filing systems for both digital and physical records
- Liaise with building management, IT, and external vendors on office facilities and equipment matters
- Support ad-hoc administrative projects and provide general assistance to management as required
Requirements
- Diploma or ITE Diploma
- 1–2 years of relevant experience in HR and/or administrative support, ideally within a professional services or office environment
- Familiarity with Singapore's Employment Act and basic HR compliance requirements
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with HRIS or payroll software is a plus
- Strong organizational skills with meticulous attention to detail
- Good interpersonal and communication skills, with the ability to handle sensitive information with discretion
- Ability to multitask, prioritize, and work independently in a fast-paced environment
- A positive, service-oriented attitude and willingness to learn
