Oversee full household operations, ensuring the residence runs smoothly and efficiently at all times
Coordinate day-to-day schedules for family members (school runs, activities, tutoring, medical appointments, etc.)
Plan and coordinate day-to-day travel logistics for the family, including flights, itineraries, visas, and ground transportation
Liaise with and supervise household staff (drivers, housekeepers, nannies, etc.), ensuring smooth coordination across the household team
Manage relationships with external vendors and service providers (contractors, maintenance, event planners, suppliers)
Handle ad hoc personal errands and requests for the Principal and family members as needed
Maintain household budgets, expense tracking, and vendor invoicing where required
Act as a trusted point of contact for the household, exercising sound judgement and complete confidentiality on all family matters
Anticipate household and family needs proactively, resolving issues before they escalate
Requirements:
Minimum 5 years of experience as a Personal Assistant, Executive Assistant, or in a similar household management capacity; candidates with strong Hotel Concierge backgrounds will also be considered
Proven track record managing complex schedules, multi-destination travel logistics, and household operations
Excellent team management skills and a people-oriented personality, with the ability to build good relationships with household staff and vendors
Demonstrated ability to work with minimal supervision, exercising strong judgement and prioritisation
Impeccable discretion and ability to handle sensitive, private family matters with the utmost confidentiality
Good interpersonal and communication skills, with the ability to liaise comfortably with household staff, vendors, and family members of all ages
Strong organisational skills with meticulous attention to detail
Flexible and adaptable, with the ability to respond calmly to last-minute changes or urgent requests
Comfortable working closely within a private residence environment
Proficient in Microsoft Office and Google Workspace
Comfortable adapting to new productivity tools and AI-assisted platforms (e.g. Claude Cowork)
Experience building automated workflows to streamline repetitive tasks is an advantage
Fluent in English and Chinese, with the ability to communicate effectively with the Principal and household
