Job descriptionConduct regular inspections of campus premises to ensure all facilities are maintained according to SOP standards. Perform asset tagging and audits across various centres. Prepare and submit grant applications to ECDA for new centre projects. Oversee facility management, including general maintenance, repairs, and upkeep of equipment, fixtures, and fittings. Ensure property contracts are properly maintained and updated. Assist in sourcing, securing quotations, and confirming renovation and maintenance works for all assigned locations. Maintain and update documentation and drawings related to Property & Maintenance (P&M). Source fixtures, fittings, and construction materials for new sites; identify and negotiate with new suppliers as needed. Process payments and invoices in compliance with the company’s financial policies and procedures. Support the Head of Department and Consultants in developing and refining departmental systems, SOPs, policy documents, manuals, guidebooks, and handbooks. Improve documentation management, reporting structures, and claims submission processes. Monitor and evaluate contractor performance pre- and post-service; compile performance data into spreadsheets and maintain records for reporting to management. Undertake any other tasks or projects as assigned by the Manager

- Review material specifications and relevant documentation.
- Coordinate with overseas suppliers and counterparts to confirm material requirements, including quantity and specifications.
- Monitor and manage procurement activities to ensure timely delivery of materials and services.
- Provide regular updates to the P&M Manager on shipment and delivery statuses.
- Support the P&M Manager in aligning procurement and cost management with project schedules.
- Maintain accurate records and documentation for procurement processes, contracts, and cost tracking.
