Key Responsibilities
Clinic Operations & Administration
- Oversee day-to-day clinic operations, ensuring efficiency, cleanliness, and a professional environment.
- Manage clinic scheduling, appointment coordination, and patient flow.
- Supervise and support clinic staff (receptionist, nurse, part-time staff) to maintain service standards.
- Monitor inventory of medical and office supplies; liaise with vendors for procurement and maintenance.
- Ensure compliance with medical, safety, and data protection regulations (MOH, PDPA, etc.).
- Oversee billing, payment reconciliation, and coordination with insurance companies and third-party administrators (TPAs).
- Prepare operational and financial reports for management review.
Patient Service & Communication
Uphold a high standard of patient care, ensuring courteous and efficient service from registration to follow-up.Handle patient feedback, service recovery, and correspondence in a professional manner.Coordinate referrals, investigations, and communication with external laboratories, imaging centres, and referring doctors.Financial & Administrative Support
Manage clinic accounts, daily cash collection, and month-end reconciliation.Assist in payroll processing and vendor payments.Track revenue, expenses, and key performance indicators (KPIs) to support clinic performance.Regulatory & Quality Management
Maintain accurate medical and administrative records in compliance with regulatory standards.Coordinate licensing renewals, audits, and inspections.Implement standard operating procedures (SOPs) and ensure team adherence.Other Responsibilities
Support the doctor in clinical operations and scheduling.Contribute to marketing, patient engagement, and clinic development initiatives.Perform other ad-hoc duties as assigned.Qualifications & Requirements
Minimum 3-5 years of experience in clinic or healthcare administration (specialist clinic experience preferred).Strong interpersonal, communication, and leadership skills.Proficient in clinic management systems, Microsoft Office, and digital tools.Familiar with MOH, PDPA, and insurance / TPS procedures.Resourceful, detail-oriented, and able to work independently in a small team environment.Preferred Attributes
Experience in managing private specialist or endoscopy clinics.Knowledge of medical billing systems and claim submission (Medisave, insurance, TPA).Customer-focused with a calm and professional demeanour.Ability to multitask and handle clinic operations efficiently.What We Offer
