POSITION OVERVIEW :

We are currently seeking a detail-oriented and organized Project Coordinator to support our client’s Audio-Visual (AV) team in the planning and execution of AV system integration and upgrade projects. In this role, you will play a critical part in tracking project progress, coordinating with vendors, preparing project documentation, and providing consistent status updates through the client’s internal task management system. Your ability to manage details and support cross-functional communication will be essential to the success of multiple simultaneous projects.

This role is ideal for a self-starter who thrives in fast-paced environments and is looking to build experience in a client-facing project coordination role. If you’re proactive, enjoy solving problems, and are eager to grow your project management skillset in the AV / tech space, this position offers a strong foundation with opportunities to expand your responsibilities over time.

WHAT YOU WILL DO :

• Work closely with the AV Engineer, who serves as the central point of contact for the project.
• Provide regular visibility and updates to the AV Engineer regarding stakeholder communications, project status, risks, and issues.
• Prepare and circulate detailed project reports, including status updates, issue logs, risk summaries, and financial reports, ensuring the AV Builds Engineer is kept informed.
• Create, submit, and track Purchase Order (PO) requests on behalf of the AV Team.
• Track, manage, and report on project finances, including budget forecasting, cost tracking, and variance analysis, under the guidance of the company FTE.
• Accurately maintain and manage real-time inventory records across AV projects and multiple storage locations.
• Maintain project schedules, budgets, and resource allocations to ensure timely delivery.
• Coordinate effectively with cross-functional teams, including Av Ops & Events, PD, EO, TSOS, STS, and external vendors.
• Facilitate stakeholder communication through clear reporting and timely updates.
• Manage and maintain project folders / documentation ensuring all records are up to date.
• Maintain procurement workflows and inventory lifecycle tracking.
• Organize and document meetings by setting agendas, capturing minutes, and assigning and tracking action items.
