About the Role
We are seeking a detail-oriented and proactive Crewing Administrative Executive to support our offshore division. In this role, you will be responsible for managing crew documentation, travel arrangements, certification tracking, and compliance with statutory and safety management requirements. You will also provide essential administrative support to ensure smooth day-to-day crewing operations and effective coordination with vessel crew, authorities and internal stakeholders.
Key Responsibilities
- Provide administrative and operational support for all crewing activities.
- Develop and maintain an efficient filing system for crew documentation in compliance with the Safety Management System.
- Manage data entry, document control, and ensure accurate record keeping of vessel crew files.
- Track and update crew certifications, statutory certificates and checklists.
- Prepare travel applications and arrange logistics for crew sign-on / off.
- Assist in maintaining petty cash statements, impress funds, payroll documentation, crew schedules and rotation plans.
- Coordinate with masters, port authorities, flag states (e.g., MPA), and other relevant stakeholders on crew-related issues.
- Support senior crewing staff in administrative tasks and ad-hoc duties as assigned.
Requirements
Minimum GCE “O” Levels; Diploma or Degree preferred.1–2 years of experience in administrative or crewing-related functions.Proficient in Microsoft Office (Word, Excel, PowerPoint, Access).Knowledge of MLC regulations and STCW certification requirements.Bilingual, with the ability to communicate effectively with Indonesian crew.Meticulous, detail-oriented and highly organized with good multitasking skills.Strong communication and interpersonal skills.Please send your detailed resume in MS Word format to resume@goldtecHRs.com with
