Admin Executive
Responsibilities
Project Administration
- Provide administrative and coordination support to project teams.
- Maintain project documentation, records, contracts, and correspondence.
- Prepare, process, and track purchase orders, supplier invoices, and payment submissions.
- Update and monitor project progress schedules, milestones, and deliverables.
- Assist in preparing progress reports, variation orders, and project claims documentation.
- Coordinate site meetings, record minutes, and follow up on action items.
- Track material deliveries, verify quantities, and liaise with suppliers and subcontractors.
- Assist in preparing CAD drawings, technical documents, and submission packages for approvals.
- Conduct quality checks, inspections, and follow up on defect rectifications.
- Support cost tracking, budgeting, and project resource allocation.
- Ensure compliance with workplace safety regulations and coordinate permits / submissions to authorities.
HR & Worker Administration
Maintain attendance and employment records of foreign workers.Assist with work pass applications, renewals, and dormitory arrangements.Facilitate onboarding and offboarding processes.Accounts & Office Administration
Perform basic data entry for Accounts Payable (AP) and Accounts Receivable (AR).Prepare and issue purchase orders, delivery orders, and invoices.Maintain company asset records and insurance documentation.Manage office supplies, filing, and general administrative duties.Perform any other ad hoc duties as assigned by the Project Manager or management.Tell employers what skills you have
