Roles & Responsibilities
- Front Desk & Telephony : Manage switchboard professionally, handle voicemails, update internal contact lists, and ensure appropriate closure messages.
- Visitor Management : Welcome and assist visitors, prepare meeting rooms, arrange refreshments, allocate desks for overseas staff, and coordinate travel / accommodation when required.
- Meetings & Facilities : Oversee conference room bookings, coordinate video conferencing setup with IT, maintain reception / meeting areas, ensure equipment and supplies are in order, and organize catering for events.
- Mail & Couriers : Handle incoming / outgoing mail and courier services, reconcile invoices, and maintain accurate records for finance.
- Supplies & Vendors : Manage pantry, stationery, and office supplies, liaise with vendors, process invoices, and maintain updated supplier contacts.
- Staff Absence & Coverage : Track and circulate staff absence information, update HR systems, arrange secretarial cover, and ensure proper recordkeeping.
- General Support : Maintain security card records, book taxis, replenish refreshments, provide reception coverage, and support the Business Services Manager with ad hoc tasks.
