Roles & Responsibilities

📌 Executive Assistant / Associate Executive (Surgical & Specialised Services)

Overview :

We are looking for a proactive and organized Executive Assistant to join our Surgical & Specialised Services team. This role will be the main coordinator for team meetings , events , and resource distribution , while providing crucial administrative support for smooth departmental operations.

Key Responsibilities :

  • Verify patients' bills for OT cases, ensuring accurate billing and invoicing to vendors.
  • Maintain and update contracts for implants and consumables used in OTs.
  • Monitor utilization of consignment items and take action when needed.
  • Coordinate meetings , book venues, arrange agendas, and handle catering requirements .
  • Process purchase and work requisitions , from obtaining quotes to submitting invoices for payment.
  • Support the onboarding and offboarding of clinicians and staff.
  • Handle incoming and outgoing mail within the department and to external parties.
  • Perform general office duties including typing, filing, scanning, and sorting documents.
  • Answer phone calls , handle inquiries, and relay messages.
  • Assist with additional tasks as assigned by your supervisor.

Requirements :

  • GCE ‘A’ Level or Diploma in any field.
  • At least 2 years of experience in administrative or clerical duties.
  • A solid understanding of accounting principles and figures.
  • Proficient in MS Word, Excel , and PowerPoint .
  • Strong communication and interpersonal skills .
  • Ability to work independently with minimal supervision.
