ROLE
The Procurement / Operations Executive will support the Director of Operations in managing the school’s day-to-day operational functions, with a primary focus on procurement, vendor management, and logistical coordination. This role ensures smooth delivery of essential services and resources to support the school’s teaching, learning, and community activities.
JOB RESPONSIBILITIES
Procurement & Vendor Management
- Manage the end-to-end procurement process including sourcing, quotations, purchase orders, and invoicing.
- Liaise with vendors, contractors, and service providers to ensure timely delivery of goods and services.
- Evaluate supplier performance, negotiate pricing and contracts, and maintain vendor relationships.
- Ensure compliance with school procurement policies and budgetary guidelines.
Operations & Logistics Support
Assist in the planning and coordination of school operations, including facility services, events support, and resource management.Oversee inventory control for supplies, teaching resources, uniforms, and equipment.Support in scheduling maintenance works, inspections, and service contracts.Ensure operational records and documentation are up to date and well-organized.Administrative & Reporting Duties
Support the Director of Operations in preparing reports, presentations, and data analysis on procurement and operations activities.Maintain accurate records of purchase orders, supplier contracts, and operations-related expenditures.Assist with compliance matters, audits, and adherence to health, safety, and regulatory requirements.School Events & Community Support
Provide logistical support for school functions, meetings, and special events.Coordinate with internal departments to ensure operational requirements are met.Any other project or task as assigned by the Line Manager.REQUIREMENTS
Degree in Business Administration, Supply Chain Management, or related field.3 years of relevant experience in procurement, operations, or administration, preferably in an education or service-oriented sector.Strong knowledge of procurement procedures, vendor management, and basic budgeting.Proficient in MS Office (Excel, Word, PowerPoint) and familiar with ERP / procurement systems.Excellent organizational skills, attention to detail, and ability to manage multiple priorities.Strong communication and interpersonal skills with a collaborative, service-oriented approach.Ability to work independently with minimal supervision while supporting wider operational goals.Adaptable to a fast-paced international school environment.At RD American School, you’ll be part of a forward-thinking team shaping the future of education.
