The Sales Admin supports the Sales Manager in day-to-day operations and plays a key role in ensuring smooth customer engagement and internal coordination. Responsibilities include handling enquiries from existing and new customers, preparing administrative documentation (e.g., agreements, sales orders), and ensuring timely follow-up on customer payments in coordination with the finance team. The role also involves generating and submitting various reports for internal review. This position operates on a standard 5-day work week (Monday to Friday) during regular office hours.
Job Scope
- Supporting the Sales Manager : In daily operations and overall sales administration. This includes coordinating internal communications, tracking sales activities, and assisting in the execution of sales strategies. The Sales Admin helps ensure the Sales Manager remains focused on business development by taking on routine yet essential administrative tasks such as scheduling meetings, preparing presentation materials, updating customer records, and following up on action items from meetings.
- Handle Existing and New Customer Enquiries : As part of your role, you may be responsible for addressing customer inquiries, resolving issues, and providing excellent customer service. This could involve communicating with customers via phone, email, or in person.
- Administrative Documentation : You would be responsible for preparing and maintaining various administrative documents, such as agreements, sales order declarations, and other relevant paperwork. This includes ensuring accuracy, completeness, and compliance with relevant regulations.
- Timely Payments by Customers : You may play a role in managing customer payments by monitoring accounts receivable, sending payment reminders, and following up on overdue payments. This could involve coordinating with the finance or accounting department to ensure timely payment collection.
- Preparation and Submission of Reports : You would be responsible for preparing and submitting various reports as required by the organization. This may include financial reports, sales reports, operational reports, or any other reports necessary for monitoring and analyzing office activities.
- 5-Day Work Week : Typically, the Office Administrator works a standard 5-day work week, Monday through Friday, with regular office hours. However, the specific working hours may vary depending on the organization's policies and requirements.
