Roles & Responsibilities
We are seeking a proactive and detail-oriented HR & Admin Executive to join our HR team in Singapore. This role combines administrative support with key HR functions, including recruitment coordination, work pass applications and renewals and general administrative tasks such as preparing letters and assisting with payroll processing. The ideal candidate will ensure smooth HR operations, comply with local employment regulations (including MOM guidelines), and contribute to a positive employee experience. This position is perfect for someone with a passion for HR administration and a willingness to grow within a fast-paced organization.
Key Responsibilities
Recruitment Support :
- Assist in the full recruitment lifecycle, including posting job advertisements on platforms like JobStreet and MyCareersFuture.
- Assist with screening resumes, scheduling interviews, conducting initial candidate screenings and coordinating reference checks.
- Support regional recruitment when required.
Work Pass Management :
Assist with Work Passes applications and renewals for foreign employees.Document verification for submission to the Ministry of Manpower (MOM).Ensure compliance with eligibility criteria.Training
Conduct Onboarding orientation for new hires.Assist with registration and training planning.Maintaining Training Calendar.Payroll Assistance :
Ensure timely and accurate payments in line with Singapore's employment laws.Submission of CPF contributions and other relevant regulatory payments.Employee Onboarding and Support : Coordinate new hire onboarding, including orientation sessions, issuance of company assets and initial training.Respond to employee queries on benefits, leave and policies to foster a supportive workplace.Compliance and Reporting
Assist with weekly attendance and vehicle reporting.Assist in HR audits and maintain confidentiality of sensitive information.Administrative Duties :
Prepare and manage HR-related documents such as employment contracts, termination letters and employee handbooks.Maintain accurate employee records in HR systems.Ensure all proper digital documentation of employees are saved in their respective Personnel Files.Insurance renewal and assisting with claim submission.Manage pantry & office supplies.Support ad-hoc projects like employee engagement initiatives (eg. Monthly breakfast, Annual Company Trip, Surveys).Requirements
Diploma in Human Resources, Business Administration or a related field.At least 1-2 years of experience in HR administration.Strong organizational skills.Excellent communication skills in English and Mandarin.Detail-oriented with a high level of integrity; ability to handle confidential information discreetly.Understanding of Singapore employment laws, including work pass eligibility and payroll compliance.Additional information :
