Roles & Responsibilities
We are seeking an Executive Assistant to support the Chairman in his focus on academic programmes, public lectures, and educational initiatives in Buddhist studies. This role combines executive support, event coordination, administration, and communications.
Key Responsibilities :
- Provide executive support : correspondence, reports, meeting minutes, and follow-ups.
- Assist in organising lectures and events, including logistics, volunteers, and participant management.
- Manage travel, accommodation, and hospitality for invited speakers and guests.
- Handle administration : receipts, payments, filing, and liaising with vendors / partners.
- Support finance and compliance (budget preparation, Corppass filings, donor checks).
- Assist with communications : content preparation, social media, email campaigns, and event promotion.
Requirements :
Diploma / Degree in Business Administration, Events Management, or related field.At least 2 years’ experience as an Executive Assistant, PA, or in admin / events coordination.Strong organisational and communication skills; able to take clear meeting minutes.Proficient in Microsoft Office; familiarity with Zoom / AV tools.Discreet, detail-oriented, and able to manage multiple priorities.Willingness to work occasional evenings / weekends for events.Familiarity with digital tools for social media, design, or email marketing is a plus.Work Schedule :
5-day work week (9am–6pm), with 1 day working from home.Occasional weekend events (off-in-lieu provided).2 late shifts per month (2pm–10pm), by roster.Reports to : Chairman
